Trk Visit form
The Trk Visit form enables you to add or edit a form for processing a truck visit at the selected gate stage. You must add one truck visit form for each gate stage and each truck visit form must be categorized as either an ingate or outgate stage form. N4 displays the truck visit form in the Truck Details area on the Operations Gate
<GateStage> tab (on page 1) for each gate stage.
Most of the truck visit details are recorded at the first gate stage where the gate transaction types associated with the truck visit are processed. However, N4 allows you to edit most of the truck visit details at any later gate stage for the associated gate transaction types. This allows for faster gate processing and trouble resolution. This feature is especially useful for gates that have multiple stages and automated data capture facility as mistakes or incorrect data entered at the first gate stage can be easily corrected at a later gate stage.
If included in the Trk Visit form, you can update the following fields at any gate stage:
BAT Number (on page 1)
Driver Card (on page 1)
Driver License (on page 1)
Driver Name (on page 1)
Entry Lane (on page 1)
Exit Lane (on page 1)
Is Driver Hazard Licensed (on page 1)
OUT BAT Number (on page 1)
Scale Weight (on page 1)
Truck Id (on page 1)
Truck License (on page 1)
Trucking Company (on page 1)
N4 saves and displays only the last data entered for a truck visit and does not maintain a history of the changes made to truck visit details at the various gate stages.
When editing truck visit data:
A gate clerk can edit only the fields that are configured as editable in the Trk Visit form.
A gate clerk cannot edit the fields that are configured as viewOnly in the Trk Visit form.
If a field is configured as Required, the gate clerk must enter a value in the field. The gate clerk cannot delete the existing value and leave the field blank. However, if a field is not configured as Required, the gate clerk can delete the existing data and leave the field blank.
A gate clerk can edit the truck visit fields at an ingate or an outgate stage.
If a gate clerk notices the incorrect data after clicking Save Transaction, the gate clerk must use the next gate stage or the Trouble stage to correct the truck visit data because the current gate stage cannot be reopened.
If a truck visit is already completed, the gate clerk must cancel the truck visit and start over.
N4 uses the data specified in the Truck Details area to process all the gate transaction types for a truck visit. For example, if a truck driver arrives at the terminal to perform a Receive Export (RE) and a Deliver Empty (DM) gate transaction, the clerk can specify the trucking company in the truck visit form and N4 uses this information when processing both gate transactions.
You can define form fields for the truck visit form to acquire data, such as the trucking company or BAT number.
In addition, you can add any of the following form fields to enable N4 to automatically select and fill in the gate transaction type based on the value entered by a clerk in the form field:
Appointment Number: Add this field if you use appointments and want to automatically fill in the gate transaction type and appointment data.
Release Number: Add this field if you deliver containers by bill of lading, group, or dray-off containers by booking number, instead of by container number.
Container Number: For deliver gate transaction types, add this field if you deliver containers by container number.
For receive gate transaction types, you can add this field if you pre-advise containers before they arrive at the gate.
N4 also displays the form fields on the <GateStage> tab for the selected gate transaction type. For more information, see Form Field IDs for Truck Visits (on page 1).
For the data acquired in a truck visit form, you can define create and reject business tasks in any of the gate transaction type forms for the same gate stage. For example, if you use the Trucking Company field in the truck visit form, you can use the RejectTruckingCompanyBanned business task in any of the gate transaction type forms to reject a gate transaction if user enters a banned trucking company in the truck visit form.

To add or edit a truck visit:
From the Form lookup field, select one of the following:
IN: The truck visit is for an ingate gate stage.
OUT: The truck visit is for an outgate gate stage.
The Form specified for the truck visit must match the Stage Type for the selected gate stage.
In the Form Description field, enter a short description for the truck visit form.
Configure the form fields and business tasks for the truck visit.
If you do not add any form fields for a truck visit form, N4 displays the default truck visit form with the following form fields: Truck License, Gate Visit Nbr, Driver License, and Transaction Number.
